Under direct supervision, organizes multiple tasks from several sources, meets deadlines and maintains a high quality work product. Follows established policies, procedures and processes to complete assigned tasks. Proficient in beginner/intermediate software applications and/or other technical skills.
Essential Job Functions
Respond to employee requests promptly and courteously, with a customer service focus
Keep common office areas stocked and clean; this includes workrooms, pantries, conference rooms and project areas
Maintain inventory of office supplies, cafeteria items and order monthly
Maintain complete records for billing purposes
Perform a wide variety of general clerical work including photocopying, filing and mailings
Frequent lifting of boxes up to 50lbs
Receive and distribute all incoming packages, faxes and mail; process outgoing mail and overnight packages as necessary
Ensure all equipment is working properly; contact repair technicians when necessary
Operate and maintain a variety of office equipment including copier, binding machine, facsimile and computer
Work with receptionist regarding contacting building management for repairs or maintenance requests as needed
Notifying vendors to solve account requests
High School diploma required
5+ years of experience in a Facilities/Office Services role
Excellent communication/organizational skills exhibited in a previous role
Ability to recognize and efficiently deal with priorities
Must be an independent self-starter; ability to handle multiple projects
Overtime as necessary
Professional Services experience preferred
Communicate frequently with co-workers as well as with managers to discern their needs, and be able to express themselves
Work as a member of a team as well as be a self-motivator with ability to work independently
Constantly operates a computer and other office equipment to coordinate work
Occasionally stoops, reaches or kneels as necessary to reach into overhead or low cabinets
Regularly uses close visual acuity and operates computer equipment to prepare and analyze and transmit data
Generally works in an office environment
