Under direct supervision, organizes multiple tasks from several sources, meets deadlines and maintains a high quality work product. Follows established policies, procedures and processes to complete assigned tasks. Proficient in beginner/intermediate software applications and/or other technical skills.

Essential Job Functions

  • Respond to employee requests promptly and courteously, with a customer service focus

  • Keep common office areas stocked and clean; this includes workrooms, pantries, conference rooms and project areas

  • Maintain inventory of office supplies, cafeteria items and order monthly

  • Maintain complete records for billing purposes

  • Perform a wide variety of general clerical work including photocopying, filing and mailings

  • Frequent lifting of boxes up to 50lbs

  • Receive and distribute all incoming packages, faxes and mail; process outgoing mail and overnight packages as necessary

  • Ensure all equipment is working properly; contact repair technicians when necessary

  • Operate and maintain a variety of office equipment including copier, binding machine, facsimile and computer

  • Work with receptionist regarding contacting building management for repairs or maintenance requests as needed

  • Notifying vendors to solve account requests

  • High School diploma required

  • 5+ years of experience in a Facilities/Office Services role

  • Excellent communication/organizational skills exhibited in a previous role

  • Ability to recognize and efficiently deal with priorities

  • Must be an independent self-starter; ability to handle multiple projects

  • Overtime as necessary

Other Skills/Abilities

  • Professional Services experience preferred

  • Communicate frequently with co-workers as well as with managers to discern their needs, and be able to express themselves

  • Work as a member of a team as well as be a self-motivator with ability to work independently

  • Constantly operates a computer and other office equipment to coordinate work

  • Occasionally stoops, reaches or kneels as necessary to reach into overhead or low cabinets

  • Regularly uses close visual acuity and operates computer equipment to prepare and analyze and transmit data

  • Generally works in an office environment
