Serves a Executive Secretary to the Director of Residency Education and Assistant Director of Residency Education. Administrative support for ten psychiatry interns

  1. Acts as the primary Administrative support to the a liaison to the Hopkins Bayview Psychiatry Fellowships in Alpha Commons .

  2. Manages supplies and equipment for the department using SAP shopping cart to replenish supplies.

  3. Prepares online and telephone work orders and SAP reimbursement entry and petty cash vouchers for the department.

  4. Serves as backup resource to the Dept's A Bldg location for Completes typing and transcription from written as well as dictated documents including inpatient discharge summaries , Unit On call Schedules, ED Staffing and On Call schedules, correspondence, chart documentation, manuscripts, slides, transparencies and tables in a neat and timely manner with minimal errors.

  5. Arrange for meals served at Service Rounds, Intern Support and Leadership Lunch Set-up, monitor, and report from E*Value evaluation system. Maintain intern individual files

  6. Position supports 13 JHU faculty assigned to Alpha Commons 4th floor. Position also provides back up support for the Administrator and Chairman Position must be EPIC trained in Sched Reg to assist in Inpatient Admissions from the ED and Med Floors

  7. Assists Executive Assistant to Chair and Administrator and provides back-up for that position and that of Exec Secretary and Admissions Coordinator for Acute Psychiatry Unit.

  8. Proficient in appropriate aspects of SAP, EPIC, MS Office, E*Value, work orders etc.

  9. Assist in filing, copying, scanning and distribution of documents.

  10. Arranges and executes meetings/events including set-up and maintenance of facility, AV equipment, attendance logs, parking vouchers, ordering / billing for food for JHU functions.

  11. Answers phone line published on several JHBMC website pages and directs calls to appropriate clinic/office/research study, with attention and sensitivity to the particular special needs of psychiatric patients and ensuring appropriate confidentiality and compliance with HIPAA and Johns Hopkins policies.

Minimum Qualifications: (1) HS Diploma or equivalent. (2) One year of basic experience with computer based management systems (EPIC, SAP, KRONOS, etc). (3) Two years’ experience as an Executive Secretary or equivalent, required.

Hours: 40 hours per week

Shift: Day, 8AM-5:00PM. No weekend work required.

Works in normal office environment where there is little discomfort to due to the extremes of heat, dust, noise, temperature and the like
